How to register as a volunteer – quick steps first then more detail with photos below
- Select Job Descriptions in the Volunteer Tab
- Choose the area that you’d like to volunteer in
- Read the description and make sure you’re in the right area then click on the place to register
- Fill in your name and email address and answer the questions on the following pages
- Read the terms and conditions document and the harassment policy and proceed to choose your shifts
- Read the instructions for how many shifts to choose – it will be different for different areas – make sure to note the date of your Orientation
- Review your schedule and then click on Finish to complete your registration or Cancel to go back and make changes
- That’s it! Wait for the email from your Area Leader and follow the instructions.

When we are accepting volunteer registrations, (May 15 – July 2, 2019) you will be able to sign up in a single area. There are many technical and logistical reasons why we can only accept volunteers in a single area, so please trust us that you need to choose one area! (If you really can’t decide, consider signing up as an Alternate and you’ll get to sample a variety of areas.) This guide is full of screen shots, not live links, so you’ll need to go back to the link at the top of this page to complete your registration. In the main menu, choose Job Descriptions under the Volunteer tab.
This will take you to a list of areas that are accepting public registrations. Choose the area from this list that you’d like to volunteer in.
Expand that area and read the description to make sure it’s the area you’d like to volunteer in and if you’d like more information about that area you can find the link to the job description. When registration is open, there will be a link to register for that area. Click on that link.
You will be taken to our registration site called Cvent and the page will start to look more colourful and different. We recommend that you do this on a desktop computer, although you will be able to do it on a mobile device. Make sure you’re in the right area and then click on the button that says Register Now!
Once you’re in there, you’ll be asked to fill out your name and email address. Each volunteer will need their own email address, so if you are helping someone to register, make sure you use a separate email address for each person.
Many of the questions are mandatory and you will not be able to progress to the next step unless you put in an answer. Try to answer the questions as best as you can – you can always go back and make changes later. Once you’re done, click on Next.
Fill in the form and don’t forget to answer all of the questions. You’ll need to provide an emergency contact with phone number, so have that information ready. We’ll also ask you if you’re interested in becoming a supervisor and if you’d like to hear from the festival in the off-season. Once you’ve answered those questions you’ll scroll down the page.
You will be asked to watch a video about accessibility and how to offer great customer service to all people at the festival. If you haven’t watched the video yet, you can either stop your registration and watch it right away or you can come back to it later – the confirmation email you get once you’ve completed your registration will have a link to the accessibility training video so you don’t need to copy it down now. Answer yes or no if you have watched the video training and continue scrolling down.
More questions that will require answers are included below before you can get to the place to start selecting your shifts, so keep going!
You’re almost finished this part, so keep scrolling down! There are links to the appropriate terms and conditions (they vary depending on your age and role) and to the Volunteer Code of Conduct and Harassment Policy. We request that you read these before progressing. You will be able to read them later, but if you proceed at this point we expect that you have read them and are willing to comply. Click on the box that says you agree and then click Save and Next and you’re ready to choose your shifts!
Now you’re ready to select your shifts. Read the instructions for your area before you get started. This can save you some time! When registration first opens, we have a minimum number of shifts you need to choose and it will be stated at this point. If there is a maximum, it will also be listed. You will proceed to choose the right number of shifts until you’re done. After we’ve given everybody a chance to register, we will open up some areas so you can choose more shifts if you want and that will be indicated here as well.
You may need to scroll down to find shifts you’d like to do on the second weekend.
Once you’ve got the schedule you’re happy with, click on next. If you’ve chosen the wrong number of shifts an error will appear on the next page and you’ll be able to correct it. If you are on a desktop computer and you chose a number of shifts over the limit, they will not be selected and you can simply proceed. If you are on a mobile device, you will need to go back and uncheck the shifts to get the number allowed.
Please note the date of the Orientation. It is a required session and valuable information and training will be given at this session so please take note of the date. Some areas will attend an orientation on July 2 and others will attend a session on July 3.
Once you have completed your registration, you will receive a confirmation email from the Area Leader who is in charge of your area.
